Job DescriptionDescription: Reporting to the President and CEO, the Executive Assistant will provide high-level administrative support to the CEO, and the Senior Leadership team, by managing the CEO’s calendar, organizing departmental meetings, providing Board and committee support, preparing correspondence, supporting events, and more. Essential Job Functions: CEO Support • Provide administrative support to the CEO including: manage calendar; organize and maintain outlook contacts; maintain filing system and file; prepare presentations; prepare expense reports; support travel as needed; maintain reference materials; maintain contacts in Outlook., • Organize and manage meetings, events, and communications for CEO including donor, media, and others as needed, • Manage Staff events and support staff-wide culture-building, • Support communications between CEO and other staff as needed., • Support CEO with applications/IT needs., • Support and manage, with CEO, Board, Executive, and Governance Committee including organizing meetings and other events, preparing materials, taking minutes, organizing and recording votes, and facilitating CEO / Board communication., • Maintain folder structure and record systems including minutes, votes, and other documentation, • Provide limited support for other committees including meeting organization Support for other functions • As needed, provide meeting, calendar, and administrative support, • This includes Development, Clinical, Programs, Finance and HR. Office Administration • Support administrative needs of the agency to help ensure a high- functioning and effective organization; coordinate between administrative functions when/as needed., • Manage office supply inventory related to office administration, ensuring sufficient supply to support office needs within budget., • Manage office administrative duties and special projects including in-house or off- site activities as requested by CEO., • Support systems and processes to organize and maintain office and project documents, records, and database systems., • Keep administrative worksite presentable and free of safety hazards., • Organize and execute agency-wide events/meetings., • Deliveries and transportation supporting key functions of CEO, • Support agency leadership requests for assistance as possible, approved by CEO., • Additional duties as directed by the CEO. Requirements: Task management and problem solving • Motivated self-starter with ability to anticipate needs and recommend solutions, • Strong time management, reliable and organized, • Delivers on deadlines, follows up in a timely manner, and manage CEO’s / colleagues’ expectations, • Brings creative thinking to problem solving, • Ability to maintain confidentiality and use good judgment, • Flexible –some evening and weekend work is required Collaboration and communication • Highly collaborative - proactively supports colleagues, • Strong communicator in writing, in person (asks good questions, listens), • Effective proofer/editor and assists with presentation development, • Effectively coordinates, problem solves, and program manages with multiple parties/stakeholders, • Projects a professional demeanor/approach Other • Comfortable with technology applications, tools, systems, • Able to lift 25 pounds, • Maintains a Texas driver’s license Experience, Education and Knowledge: • Experienced Assistant to C-level executives, CEO preferred, • Experience working with Boards of Directors, • Fluency in all key office systems/tools/applications (e.g. Word, Excel, PPT, Adobe, editing apps), • Minimum 3 years in a business / nonprofit administrative or related function, • Demonstrated ability to take meeting minutes and prepare meeting summaries This is a salaried, exempt position with a range of $55,000 - $65,000 annually.
